What kinds of personal information about you do I process?

Personal information that I process in connection with all my products and services, if relevant, includes:

Personal and contact details, such as title, full name, communication numbers, email address
Your date of birth, gender and/or age ? N/A
Your nationality or religion ? N/A

Details of beneficiaries, only on invoices usually via customers chosen solicitors/guardians

Family members (if relevant to the product or service, commonly used when work is carried out on behalf of relative and for invoice/payment details)

Records of your contact with us via the phone number you rang direct 07709 545701, if you get in touch with me online using my online services or text message or whatt’s app for example ,details such as your location & phone number due to the nature of my services offered will initially be on my phone, Also if you contacted me via “Buy with confidence” Trading Standards. Checkatrade phone numbers have their own protection guidelines and implementations.

Products or Services you may hold with me, like master suite/key systems and the associated payment methods used as indicated on invoices. No card details are ever held there is never a need.

Marketing and analyzing data?
I will only ever contact you if you have requested information on various product options which we would have already discussed. Your details are held by me as I have no need to involve any other parties for this purpose. If for any reason I need to forward any details to another locksmith it will at your request only, via email, phone or message audit. Some Calls are however recorded.

Vehicle information, Due to the nature of my job I will ask you for details such as make and model, year ,VRN & colour. This helps me along with your personal identification for proof of ownership helps me to identify an exact location and a method of entry if this is the service you have required. Example being, Lost keys, keys locked in car , snapped key.

Information about your use of products or services held with other parties?

This would only happen if you have chosen for example to have a restricted Key section and would only be held with either myself or my personally recommended trusted and preferred locksmith or company which I would have discussed with you and of which you will be given their full details.

Information I obtain from third parties?

In the case of an emergency & your requirements cannot be met by your chosen locksmith. With your permission only, I may recieve or pass contact details on to/from other trusted locksmiths known personally to me for the sole purpose to aid you in your emergency situation. You will of course be informed of this in all circumstances by all parties and of course with your permission.

Information about your property occupier status, such as whether you are a tenant, live with parents or are an owner occupier of the property?

This is always necessary if a gain access is required, along with proof of ownership. (Please do not be offended if asked for such information, Verbal/written. I do not gain entry to properties commercial or residential if I can not be sure of who the legal owner is. I may use other methods of gathering proof of who you are and/or ownership, situation dependent.

What is the source of your personal information?

I only collect personal information from the following general sources:
From you directly, information from family members, friends or Neighbors, associates or beneficiaries
From a Solicitor, Lawyer, estate agents, letting agents, landlord or other intermediary who I may work with to provide products, services or quotes to help/aid you. I do not seek this information for any marketing purposes I only receive it.
Possibility From other sources such as Fraud Prevention Agencies, debt recovery and/or tracing agents, other organizations to assist in prevention and detection of crime, police and law enforcement agencies

What do I use your personal data for?

I use your personal data, including any of the personal data listed above, for the following purposes ONLY:

Assessing an application for a product or service you have requested, including whether to consider or not to offer you the product or service.
Managing the product or service you have with me. Example being Safe servicing, Codelocks, Access control, specialist key sections/suites.
Tracing your whereabouts and recovering a debt owed to me when and if applicable.
Managing any aspect of the product or service under my guaranteed terms.
To follow guidance and best practice under the change to rules of governmental and regulatory bodies.
For management and auditing of my business operations including accounting.
To monitor and to keep records of our communications with you for 6 years to comply with my HMRC legal/regulatory obligations, requirements and guidance mainly for accounting purposes only.
To administer my good governance requirements
For direct communications to help us me offer you relevant products and services that you may have requested, including deciding if or not to offer you certain products and service. I will send product recommendations to you by SMS, email, phone, post, social media or whichever is YOUR preferred method.
Offers may relate to any of my products and services such as locks, safes, additional security as well as to any other offers and advice I think may be of interest and that you may have requested.
To provide personalized content and services to you, such as tailoring my products and services to suit your needs.
To provide insight and analysis of my yearly targets for myself and for the benefit of my business either as part of providing products or services, helping me choose products or services for future work requests, or to assess or
improve the operating of my businesses.

What are the legal grounds for my processing of your personal information?

Where it is in my legitimate interests to do so, such as:

a) Managing your products and services relating to any work carried out or requested, updating your records, tracing your whereabouts to contact you about your account and doing this for recovering debt (where and if ever appropriate)
b) To follow guidance and recommended best practice of government and regulatory bodies
d) For management and audit of my business operations including accounting
e) To keep records of our communications with you. Generally Invoices and contact numbers
To comply with any legal obligations.

With your consent or explicit consent:

For some of my decision making in regards to special categories/situations of personal data such as about your health, or if I deem you a vulnerable customer to aid me in giving you or persons I attend on behalf of person/s the most appropriate advice, work or products I possibly can always being mindful of all situations/circumstances.

For a public interest, such as:
a) personal data such as about your health, criminal activity (including alleged offences), or if you are a vulnerable customer, I may pass on your details to a relevant agency.

When do I share your personal information with other organisations?

I may share information with the third parties for the purposes listed above for your protection only. Below are listed organisations I would be required by law to supply information.

Governmental and regulatory bodies such as Police, HMRC, the Financial Conduct Authority, the Ombudsman, the Information Commissioner’s Office
Debt recovery agencies.

Is your personal information transferred outside the UK or the EEA?

Although presently based in the UK. I do have many overseas customers and will have email and Phone correspondence. Which is applicable to them only, their properties or business/Premises and no other parties.

What should you do if your personal information changes?

Nothing unless you want me to update your phone number,email or address if you are on my contacts list.

Do you have to provide your personal information to me?

Due to the responsibility I like to show within my profession I personally am unable to provide you with my gain entry services if you do not provide certain information to me. In cases where providing some personal information is optional, I will make this clear. As your trusted locksmith for your and my benefit i like to have a record of products or services I have provided for you. I am required by law to account for all work carried out and payments received, I like to also provide you a record, part of which involves you allowing me to document your address and name, also vehicle details if this is an area of work you require me to undertake. Remember invoices are also your guarantee for products fitted.

Your address in certain circumstances may also be passed to companies if you have especially ordered a large Safe through me as this will need to be delivered to your address by suitable means.

For how long is your personal information retained by us?

Unless I explain otherwise to you, I will hold your personal information based on the following criteria:

For as long as I have reasonable business needs, such as managing my relationship with you and any ongoing services I may be providing for you
Retention periods in line with legal and regulatory requirements or guidance.

What are your rights under data protection laws?

General information:

Here is a list of rights that all individuals have under data protection laws. Be aware they don’t apply in all circumstances. If you wish to use any of them, I can explain at that time if they are engaged or not. The right of data portability is relevant from 25th May 2018.
